Word Processor/Publications Assistant

An engineering firm in Encinitas seeks a Publications Assistant/ Word Processor. The role of this position is to provide desktop publishing support, including formatting, production, delivery and archival of technical reports, proposals, and other business documents.
Responsibilities:
Format technical reports, letter reports, and other documents following the Company style manual. Implement and proofread revisions made to documents. Ensure conformance with project style sheets when available. Prepare, assemble, produce and ensure delivery of documentation. Perform quality checks as appropriate. Ensure digital files are correctly filed following department naming conventions. Ensure appropriate file copies are maintained.
Support and assist the Marketing Department in preparation, production, and delivery of proposals. Includes reading and taking careful note of proposal presentation and delivery instructions detailed in each Request for Proposal (RFP) and/or Request for Quote (RFQ). Perform quality checks as appropriate.
Work with other document production team members to ensure that publication projects are completed according to established requirements and on schedule.
Report project status and notify supervisor when help is needed.
May serve as primary Publications Assistant for a large documentation project.
Assume additional editorial responsibilities as necessary.
Provide administrative support as needed.
Qualifications:
Strong problem-solving capabilities, with an emphasis on creating, maintaining, and troubleshooting Microsoft Word files.
Excellent communication skills. Ability to describe problems and solutions to team members and management.
Must have prior relevant experience within an environmental or engineering industry
Teamwork skills; capable of constructively teaching and learning from teammates.
Positive attitude in the face of changing demands and deadlines.
Adaptability; must be able to rapidly self-teach new software applications.
Bachelors degree and 4 years of applicable training/experience in a schedule-driven word-processing environment.
Advanced Microsoft Word and Adobe Acrobat proficiency.
